What does AI automation cost a small business in Canada?

The short answer
AI automation has three separate costs: discovery and implementation, recurring software and hosting, and the time your team spends reviewing results. A useful budget begins with one workflow and its transaction volume. Next Aura Labs quotes after scoping; the calculator on this page uses your assumptions and is not a price quote or a promise of savings.
Compare three scopes before comparing prices
A rules-based connection moves structured information between tools. A draft assistant reads or writes text for someone to approve. A connected workflow coordinates several systems and needs retry logic, monitoring and exception handling. Each scope has different implementation and operating costs.
- Simple connection: a form creates a record and assigns a task. Check whether an existing integration already does this.
- Reviewed assistant: an enquiry becomes a draft response with sources and missing details highlighted. Budget for review and corrections.
- Connected workflow: intake, document extraction, approval and updates across systems. Budget for access controls, failures and ongoing maintenance.
What to include in the written quote
Ask suppliers to separate the initial build from recurring charges. Compare the same workflow, volume and review requirements. A low setup fee can hide subscription costs or leave exception handling out of scope.
- Discovery, process mapping and sample-data preparation
- Implementation, integration access and acceptance criteria
- Model usage, hosting, storage and third-party software
- Staff training, documentation and ownership of accounts and code
- Monitoring, support, changes and the cost of higher usage
Estimate capacity value after staff review
Use the calculator below to compare current handling time with expected review time. Include monthly operating costs and the initial build. Its result is a planning scenario, not a forecast.
For example, 100 tasks a month at 15 minutes each use 25 hours. Reducing handling to 5 minutes frees about 16.7 hours. At an assumed $40 per hour, that is about $667 in monthly capacity value before software and support. With $200 in recurring costs, the estimated net capacity value is about $467. A hypothetical $4,000 implementation would take about 8.6 months to offset at those assumptions. These numbers are not our prices or measured client results.
Freed staff time is not automatically cash savings. If payroll stays the same, the benefit is capacity for other work. Cash savings require an actual reduction in spending or another measured financial outcome.
Scope a local pilot before committing
For a Peterborough or Kawarthas business, bring a repetitive task, representative examples, monthly volume and the systems involved. We define a first version, the human review step and the result to measure.
Contractor intake, document summaries and customer-question assistants are possible starting points. We assess whether a standard tool, a simple integration or custom software is appropriate before quoting.
